Procurement Officer

Overview

The Procurement officer is responsible for purchasing internal and external goods. Identifying potential suppliers, negotiating contracts, and managing inventory reorder requests. Maintain accurate records and communicate with other departments to ensure that all procurement needs are met.

Job Responsibilities:

  • Conducting research for products, and services between direct and indirect sources.
  • Compare, evaluate, and improve price, quality, delivery lead times, services, terms, and conditions.
  • Identify local suppliers based on quality, pricing, and delivery times.
  • Preparing Purchase orders, quotes, and other forms needed by your direct manager.
  • Meeting with suppliers and vendors to build a healthy sustained long-term business relationship.
  • Negotiate contracts and pricing with suppliers to ensure that the company acquires quality goods and services at competitive prices.
  • Handling the petty cash, submitting a weekly petty cash report and a monthly tracking report of the received goods.
  • Monitoring deliveries and liaising with sellers and receivers to ensure all goods are received on time.
  • Monitoring the inspected purchased products upon delivery and reporting issues timely with sellers
  • Inspect and evaluate the quality of purchased items and resolve shortcomings.
  • Receive urgent procurement requests from various departments and prioritize them according to urgency.
  • Visit local markets to source and purchase goods such as emergency supplies, raw materials, etc.
  • Ensure that all procurement activities comply with company policies and procedures, as well as all relevant laws and regulations.
  • Review forms and obtain approvals as per policy and procedures.
  • Maintain accurate records of all procurement activities, including purchase orders, contracts, and vendor information to be added in a master data file.
  • Continuously improve the procurement process to increase efficiency and reduce costs.
  • Updating records and finalizing required documents to close purchase orders.
  • Weekly/monthly report on cost analyses and other related elements.

Experiences & Qualifications

  • Bachelor’s degree in supply chain management or a similar field
  • 1+ years of experience in procurement, purchasing, or the retail industry
  • Excellent negotiation and communication skills
  • Strong analytical and problem-solving skills
  • Ability to work independently and as part of a team
  • Familiarity with procurement policy and procedure
  • Knowledge of relevant laws and regulations governing procurement activities
  • Must have a valid driver's license and own transportation
